Jumppl allows you to easily setup Client Portals in a way where you can receive Job Requests from your clients and external users. 


Client Portal


These job requests can be easily linked to Jumppl's task management module, so that the Job requests received, automatically become tasks for your internal team.


Your internal team can carry out the work required in the internal portal. When the tasks status is updated, your clients are automatically updated as well.


Internal Portal


Similarly your team can ask questions or upload files that can be viewed by your client in the client portal.


This Jumppl workflow makes the process of receiving and delivering job requests really easy and stress free. 


How to Setup the Job Request Workflow


In this tutorial, we will walk through setting up a job request form and linking it to a project 


Step 1: Create a new Project


Go to the Projects module in your main portal and create a project from the top right button.





When creating a project you can start from an empty project, or you can create a project from a predefined template. For the purpose of this tutorial, lets go with an empty project. 


Next , we need to name the project 

The name of the project is important here, as this name will show up in the client portal as the Type of Jobs that the user can choose from.




Share Project with Groups


Next, we need to share this project with the group of users that will be working internally to complete the tasks. Groups are for internal users. 

If you don’t have a specific group created yet, don’t worry we will visit this again at the end of the tutorial. 



Everyone Group

The everyone group is a default group thats created in Jumppl. Everyone group will always contain all the internal members of the team 



After the groups selection screen, the project will be successfully created, and you can see the newly created project in the list of projects



Step 2: Create Custom fields in the project


Now that we have the project created, we need to create the custom fields, that will appear as the questions in the Job request, when the user is creating the form in the client portal 


As you created the project, you are the Admin of the project and you will see the Admin button at the top of the page. Click on Admin button and then press "Add Custom Fields" button





From the custom fields popup, you create the questions or fields that you want to appear in the Job request form. You can also choose the type of the field for each type


Two fields, “Project/Task Name” and “Description” are automatically added with each Job request, so you don't have to create these. You can add the rest of the fields as per your requirements.




You can choose from a range of different Field types like, Text, Multiple options, Drop Downs Date, Currency, Drop Downs etc


You can also set each field to be compulsory or optional.


You can also edit these fields afterward by the "Edit Custom Fields" button in the Admin section

You will be able to see these fields and their values populated in the Task details section after the Jobs start coming in




Step 3: Create a Client Portal


Next, Go to the client portal module from the left menu of the internal portal


Click on "Add client portal" button which will take you to the New client portal widget.



The create creation widget has 3 tabs at the top, the information and the modules tab are relevant for this tutorial


First is the information tab, where you can name the new client portal


The client's name, the business unit or branch is the best option for the name of the client portal. This name will appear in the client portal.




Next, you can add existing users to this portal.

For new users, we can invite them after the portal has been created.




Next, select a theme color for the portal, this can be your clients theme color or your company’s theme color. Each Portal can have its own theme color.


The creator automatically becomes the admin of the portal.

Press next to land in to the Modules tab.



Step 4: Add Job Request Module to the client portal


Find the Job Request Module from the list of modules and turn it ON. 


Link the Project to the Job request module


From the field "Select Projects for Job Request", choose the "Facebook Advertising" project that we recently created. This will link the project to this portal as a job request. 




Advanced: If you have sub projects they will show up as sub options for the Job requests

This is good if you have alot of Job type offerings and helps the client choose the right job as well.


Choose an ID prefix (Optional)


You can choose an ID prefix for the jobs created from this portal. This helps you identify which client portal was the job created from.


Finalize and Create the client portal.


Congratulations!!!


You have now successfully created the client portal and also linked the Job request to a project.



Let see this in Action! 


Go to the Client portal


Go to your client portal located at client.jumppl.com (or your own subdomain, if configured)


You will see the list of client portals that you are a part of from the left Menu


Make sure you are in the right client portal.


You will see the Job request module appear in the client portal


Create a job request


Click on the new Job request button


You will get an option to choose the type of Job request you want to create


As we have linked one project to this portal, you will only see a single option here.


Press the Create button to show the Job request form.


You will see all the questions you created as project custom fields appear as a list




You can upload multiple files at the bottom as well 




Fill out all the required fields and create the job request




You will see the newly created job request appear in the list

You can see the Id, Status and the name of the job request

Click on the newly created job request to see the details section of the job request.


IMPORTANT

As soon as a Job request is created in the Client portal, a corresponding task is created in the project in the main portal


View the newly created Job Request in the Main portal


All the Job requests that are created in the client portals, become a task in your main portal.

Go to your main portal (or open in a different browser tab) , at app.jumppl.com


Go to the project that you created as part of Step 1


You will see this newly created Job request as a task in the list


Communication after the Job has been created 


All the communication on the Job request can be carried out from the Comments section


When the internal users update the Task status, the job request status will also be updated and all members of the client portal (including the clients) will be notified



Inside your main portal , you can assign the task to your internal team.



Click on the task and you can see all the info submitted in the job request in the custom fields


And the internal team can communicate with the client portal members using the comments section
